How to use BiteForm

Everything you need to know about creating branded intake forms, managing customers, and collecting information for your service business.

🚀 Getting Started

Get up and running with BiteForm in just a few minutes. Here's what to expect when you first sign up.

BiteForm offers a 14-day free trial with full access to every feature. No credit card is required to start.

  1. 1Visit biteform.com and click "Start Free Trial".
  2. 2Create your account using your email address.
  3. 3You'll land on the Getting Started screen which walks you through initial setup.
  4. 4Your 14-day trial begins immediately. A countdown appears in the sidebar so you always know how many days remain.
You can upgrade to a paid plan at any time during your trial. If you don't, your account will switch to read-only mode when the trial ends.

🎨 Your Brand

Make every form and email look like it comes from your business. Set up your branding once and it applies everywhere.

Your logo appears at the top of every form your clients fill in, and in the header of every email you send through BiteForm.

  1. 1Go to My Brand from the sidebar.
  2. 2Click the logo upload area or drag and drop your logo file.
  3. 3Accepted formats: PNG, JPG, WEBP, or SVG. Maximum size: 500KB. Maximum dimensions: 2000×2000 pixels.
  4. 4Click Save Changes when you're done.
Use a logo with a transparent background (PNG or SVG) for the best results on both light and dark email clients.

📝 Form Builder

Create professional intake forms using the drag-and-drop builder. Choose from a wide range of field types to collect exactly the information you need.

  1. 1Click "My Forms" in the sidebar.
  2. 2Click the "New Form" button in the top-right corner.
  3. 3Give your form a name (e.g. "New Client Intake", "Booking Request").
  4. 4You'll enter the form builder — a three-panel layout with a field library on the left, your form in the centre, and field settings on the right.

👥 Customers

Keep all your client information in one place. Add customers individually or import them in bulk.

  1. 1Go to Customers from the sidebar.
  2. 2Click "Add Customer" in the top-right corner.
  3. 3Fill in the customer details: name, email, contact person, and phone number.
  4. 4You can also add one or more locations for the customer.
  5. 5Click Save to create the customer record.

📤 Sending Forms

Once you've built a form and added your customers, it's time to send forms out and start collecting information.

A form link is a unique connection between a customer and a form template. When you send a form, BiteForm creates a secure, tokenised link for that specific customer.

  1. 1Go to the customer you want to send a form to, or navigate to My Forms.
  2. 2Click "Send Form" (or "New Link" depending on where you are).
  3. 3A modal will guide you through the process step by step.

📥 Submissions

View, manage, and export the information your clients have submitted.

The Submissions page works like an inbox. New submissions appear at the top and are marked as Never Viewed until you open them.

  • A badge in the sidebar shows how many unread submissions you have
  • Click a submission to view the full response in a side drawer
  • Submissions show the customer name, form name, and date submitted

✉️ Email Templates

Customise the emails your clients receive when you send them a form or a reminder.

Every email sent through BiteForm uses an email template. Templates control the subject line, greeting, body text, and button label of the email your client receives.

BiteForm comes with a default system template that works out of the box. You can customise this or create your own templates from scratch.

📊 Email Activity

Track every email you send through BiteForm and monitor delivery status in real time.

The Email Activity page shows a complete history of every email sent from your account. For each email, you can see:

  • Recipient — Who the email was sent to
  • Subject — The email subject line
  • Status — Current delivery status (Sent, Delivered, Opened, Bounced, etc.)
  • Date — When the email was sent

BiteForm is available for a flat monthly fee with no hidden costs. Here's how billing works.

⚙️ Account & Settings

Manage your account, recover archived items, and keep your workspace tidy.

When you archive a customer, form template, or form link, it doesn't get deleted — it moves to the Archived Items section.

  1. 1Click "Archived" in the sidebar (at the bottom).
  2. 2Browse archived customers, templates, and form links in separate tabs.
  3. 3Click "Restore" on any item to bring it back to the active list.
Archiving is great for keeping your workspace clean without losing any data. You can always restore items later.
